In our last update, we promised QR codes and geofencing. Both features are now available, and more have been added. Over the last three months, we have added offline attendance tracking to webBox, fleet management in webDrive, and international travel management in multiple currencies. Here is an overview of the most important updates.

webVisitor

Attendance tracking even where there is no signal

Employees can record their arrival, departure or break even when their phone has no internet connection. They do not have to wait for the network to be restored.

  • Stored on the device: the transaction remains on the phone until the app sends it to the server.
  • List of pending tasks: the user can see which transactions are still awaiting synchronisation.
  • Automatic synchronisation: once the connection is restored, saved transactions are sent automatically and their status is updated, so it is clear whether they have been delivered.
  • Duplicate protection: resending the same transaction will not create a second record on the server.

The system is suitable for construction sites, field work and workplaces with unreliable internet connections. It is included in the licence price.

Geofencing: attendance recorded only at the workplace

With every transaction, the application verifies whether the employee is within an authorised area of the workplace, for example within a 100-metre radius. It is not merely a matter of recording a GPS location (although this is also possible), but of defining the area from which attendance can be recorded.

  • A transaction recorded outside the authorised zone will not be transferred to the attendance records.
  • The administrator can see such an attempt in the system.
  • This feature is particularly suitable for people working in the field, on construction sites or across multiple work locations.

Geofencing is included in the licence price.

Attendance via QR code, without a scanner

A solution for smaller teams that do not require a time and attendance scanner. The feature is part of the webReader mobile app, and QR codes can be configured in three ways:

  • A separate code for each transaction: for example, one for arrival and another for departure.
  • One universal code: once scanned, the webReader app opens and the employee selects ‘arrival’, ‘departure’ or ‘break’.
  • Multiple codes for different areas: the system recognises in which area an employee has clocked in.

Included in the licence price.

webDrive

Vehicle fleet and international travel

Fleet management. The new module records all company vehicles in one place. You can store documents for each vehicle, such as the vehicle registration certificate in PDF format, along with the necessary details. The module reminds you of important deadlines such as vehicle inspections, emissions tests or the expiry of insurance cover, and sends notifications by email. It is available as an add-on.

Business trips abroad in multiple currencies.

  • Foreign currency items are shown as amounts converted to EUR, with the original currency shown in brackets, so you can easily compare them with your documents.
  • The new ‘Total (EUR)’ tab summarises costs in all currencies by category, including the final amount to be reimbursed.
  • After switching to a specific currency, for example CZK, you will see a separate summary in that currency.
  • Exchange rates are retrieved automatically from the National Bank of Slovakia. When settling receipts from abroad, the current day’s exchange rate is used; there is no need to look it up or enter it manually.

This feature is included in the licence price.

Further improvements

  • Export to CloudPay: a new export function to the CloudPay payroll system.
  • Real-time attendance: a new mode for displaying employees’ real-time attendance.
  • Shift planning: for each day, you can see the total number of scheduled shifts and staff, as well as the total number of scheduled hours.
  • Group settings for employees: selected working mode parameters can be defined as variants.

Everything is included in the licence price.

What are we working on?

  • webMan: a new digital manual for webBox, which will simplify access to guides and information.
  • New biometric scanners: we are expanding our range of hardware for attendance and access control.
  • Building and machinery management: clear records all in one place.
  • Vehicle availability calendar: in webDrive, you can see when company vehicles are in use and when they are available.

We will present these features in more detail during an online webinar for customers; we will send out invitations by email. If any of these new features have already caught your interest, please email us at obchod@apis.sk.
